Privacy notice - pledge fair funding for North Somerset

Purpose of processing

The purpose of collecting your information is to demonstrate community support in our request for a fairer government funding for North Somerset Council. By gathering names, we aim to show the level of support directly to the Ministry of Housing Communities, and Local Government. Additionally, we request the five digits of postcodes (optional) to help us analyse the geographic distribution of support across North Somerset, which will strengthen our case.

Data subjects

The data subjects are individuals who sign their names in support of North Somerset Council’s funding request. Specifically, this includes:

  • Local residents: People living within North Somerset who are pledging their support by providing their name (and optionally, their postcode)
  • Supporters of the campaign: This could also include individuals who may not reside in North Somerset but wish to show their support for our funding efforts by adding their names

Personal data and how it will be used

As part of the campaign, we collect the following data:

  • Name (mandatory): Your name will be included in a letter to the Ministry of Housing, Communities, and Local Government as a demonstration of community support
  • Postcode (optional): If provided, the first five digits of your postcode will be used solely for internal geographical analysis to understand regional support within North Somerset. Postcodes will remain confidential and will not be shared with the government or included in any public documents

Your personal data will be processed by the Business Intelligence Service within North Somerset Council. Access to the raw data is strictly limited to authorised personnel within the team.

Profiling and automated decision making 

There are no automated decisions in this process.

Legal basis for using your data 

Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, the legal basis for processing your data is:

  • Article 6(1)(e) of the UK GDPR – processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller

Storing data

We use Snap Surveys Limited to manage and distribute this survey. Snap Surveys hosts the survey on its platform, and are prohibited from sharing your personal data with third parties. Snap Surveys only processes the data in line with our instructions and data protection regulations. For more details on Snap’s data handling, please refer to their privacy policy. 

How long will my data be stored for? 

We will retain your data for as long as necessary to fulfil the purpose of this pledge. Specifically, your data will be retained until the fair funding campaign has concluded and all lobbying activities with national government are finalised. Afterward, your data will be securely deleted within six months of the campaign’s conclusion. 

Who will my data be shared with?

To effectively advocate for fair funding, we will share names (but not postcodes) of individuals who have signed the pledge with relevant national government departments. This is to demonstrate the level of direct community support for fair funding in our area. 

Postcodes will remain confidential and will only be used internally by the council to help us understand and demonstrate the geographical distribution of support. Individual postcodes will not be shared with any external parties. 

In some cases, your personal data may be shared with law enforcement or other authorities if required by applicable law.

We do not share your data with third parties beyond those listed without yours consent, unless legally required.

Your rights

You have the right to withdraw your consent and remove your name from the pledge at any time. If you choose to withdraw, we will securely delete your information and cease using it for the funding initiative. 

To withdraw your pledge, please email foi@n-somerset.gov.uk. We will confirm the removal of your data upon receiving your request.
