Privacy notice – Parish council survey

North Somerset Council is committed to protecting and respecting your privacy. The privacy notice explains how we collect, store, and use your personal data.

Purpose of processing

The purpose of collecting this information is to inform North Somerset Council. We do this through consistent gathering of information across all 39 first tiers of local government in North Somerset. This survey form has been provided to allow you to engage in that survey. 

We seek your specific comments and feedback on the measures and how they will directly affect you and engage with you.

Please note that your comments and potentially your details may be raised within the council to the extent that it is required to meet the purposes of the consultation or survey.

How your personal data will be used

We may ask you for details that include:

  • contact telephone number
  • email address

Any personal data that has been submitted will be received by North Somerset Council who will engage directly with you to explore your comments, concerns or queries. 

We will need this information to communicate with you about service development. The information may be shared with other services within the council who may carry out actions to support or engage with you. This may include such services that the council provides, including:

  • highways services
  • financial support services
  • community wellbeing
  • legal services

Profiling and automated decision making

There are no automated decisions in this process. 

Legal basis for using your data

We process your personal data where required to do so under Article 6(1)(e) of the UK GDPR. This is for a task carried out in the public interest or in the exercise of official authority vested in the controller.

Data sharing

The council uses Snap Surveys Limited to manage and distribute this survey. 

Snap Surveys hosts the survey on its platform, who are prohibited from sharing your personal data with third parties. 

Snap Surveys only processes the data in line with our instructions and data protection regulations. For further details on Snap’s data handling, please refer to their privacy policy

Storing data

How long my data is stored for

Personal data will only be retained for 12 months after survey completion.

Our secure server

Your data will also be stored on our secured internal server and SharePoint system, which have restricted access. Only staff directly involved in processing they survey information will have access to this data. 

All systems are protected in line with data protection regulations and council security protocols
