Purpose of processing
North Somerset Council’s Youth Justice Service (YJS) team is conducing a training needs assessment to better understand how we support our stuff in performing their roles effectively.
By identifying any learning and development needs, we aim to provide the necessary training and resources that will help you do your job to the best of your ability.
This assessment form is an opportunity for you to share feedback, which will guide our workforce development initiatives and improve overall outcomes for service users. Participation is voluntary, and you are free to provide feedback through other means if you prefer.
Data subjects
The data subjects are individuals within the Youth Justice Service (YJS) who are participating in the training needs assessment.
Personal data and how it will be used
As part of the assessment, we collect the following data:
- name (mandatory)
- work email address (mandatory)
- comments or feedback about learning needs
- information you may voluntarily disclose, such as specific learning or equality needs
We do not collect sensitive personal data unless you choose to disclose this information voluntarily.
Profiling and automated decision making
There are no automated decisions, or profiling will be conducted as part of this survey. Your feedback will be reviewed manually by relevant staff.
Legal basis for using your data
Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, the legal basis for processing your data is:
Article 6(1)(e) of the UK GDPR – processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller.
Article 9(2)(g): Processing is necessary for reasons of substantial public interest, specifically to support the public service objectives of improving the effectiveness of staff training and development.
Storing data
Snap Surveys Limited
The council uses Snap Surveys Limited to manage and distribute this survey. Snap Surveys hosts the survey on its platform, who are prohibited from sharing your personal data with third parties. Snap Surveys only processes the data in line with our instructions and data protection regulations. For further details on Snap’s data handling, please refer to their Privacy Policy.
How long my data is stored for
Personal data collected as part of this survey will be stored only for as long as necessary to fulfil the purposes outlined in this notice. Specifically:
- survey data retention - once the survey data has been collected, it will be exported to the relevant managers and head of service for review
- data deletion - after the managers have received their exported copies, the raw data will be deleted from the survey software system to ensure it is not retained longer than necessary
- access to data - pther than the survey administrator, the manager and head of service will have access to the raw data. Only these individuals will see the detailed responses to the survey
- Anonymised data - any anonymised or aggregated data may be retained for reporting, statistical, or evaluation purposes. However, this will not contain personal data and will not identify individual respondents
Who my data will be shared with
Council services - your personal data will be processed by the Business Intelligence Service within North Somerset Council. Access to the raw data is strictly limited to authorised personnel within the team. Other than the survey administrator in BIS, the only other members of staff who will see the raw data is the Head of Service and your manager.
External agencies - anonymised or aggregated data may be shared with external agencies, such as the Youth Justice Board (YJB) or Her Majesty’s Inspectorate of Probation (HMIP), for reporting or statistical purposes.
In some cases, your personal data may be shared with:
- law enforcement or other authorities if required by applicable law.
We do not share your data with third parties beyond those listed without yours consent, unless legally required.
Your rights
You have the right to withdraw your consent and remove your name from the pledge at any time. If you choose to withdraw, we will securely delete your information and cease using it for the funding initiative.
To withdraw your pledge, please contact us by email at foi@n-somerset.gov.uk. We will confirm the removal of your data upon receiving your request.
